Signing in and your account

How to sign in, reset a password, and what two-factor authentication does.

Sign in with the email address your school holds for you. If you have never set a password, use the invitation email — it takes you to a page where you choose one.

Forgotten password

Use Forgot password on the sign-in page. It emails you a link that lets you set a new one yourself. An administrator can also issue a temporary password from your profile in People, which you will be asked to change on first use.

A password needs at least 8 characters, with an uppercase letter, a lowercase letter, a number and a symbol. The box shows you which of those you still need as you type.

If you sign in with Google you may ALSO have a password on the account, and Forgot password will reset that one. If your account has only ever used Google, it tells you so instead of sending a link to a password that does not exist.

Two-factor authentication

Settings → My Account → Enable Two-Factor Authentication. You scan a code with an authenticator app, and from then on sign-in asks for a six-digit code as well as your password. Turn it on if you handle money or manage people.

Changing your own password does not sign out your other devices. If you think someone else has your password, change it and tell an administrator.

Finding your way around

The left menu, what each section is for, and collapsing the menu for more room.

Everything is reached from the menu down the left. What you see depends on your roles — a student sees far fewer entries than an administrator.

Collapsing the menu

Click Collapse at the top of the menu to shrink it to a narrow icon rail, which gives the content about 190 more pixels of width. Useful on a laptop when the schedule grid or a wide report is cramped. Your choice is remembered on that browser.

On a phone the menu is replaced by a bar along the bottom, with the less-used sections behind More.

The Home dashboard

What each panel on the home screen shows and where its numbers come from.

Home is a summary of anything that needs attention. Panels appear only if your permissions allow them.

Account BalanceWhat you owe or hold in credit. A negative figure means money is owed to the school.
Invoices Due SoonOutstanding invoices in the order they will be settled — oldest first.
My ReservationsYour upcoming bookings, with quick actions to check out or cancel.
Airport WeatherLive conditions for each of your locations. 'No live reporting station' means that field has no METAR source.
Flight OperationsThis month's flying: hours booked, hours flown, and that split into dual and solo.
Needs attentionDocuments, payment methods and invoices awaiting verification; late check-outs; overdue check-ins; open squawks.

Reading the Flight Operations panel

Four bars, all in hours, so they can honestly sit on one axis:

  • Booked — hours put on the schedule this month, whether or not they were flown
  • Flown — hobbs hours actually recorded at check-in
  • Dual — of those flown hours, the ones with an instructor aboard
  • Solo — of those flown hours, the ones without

Dual and Solo add up to Flown. Ground lessons contribute to Booked but not to Flown, because no airframe moved. A month with no flying says so rather than drawing empty bars.

What we email you about

Turning categories of email on and off for your account.

Settings → My Account → Communication Preferences, or the Communication section of anybody's profile if you manage people. Four kinds of mail, each on or off:

Document expiry remindersBefore a medical or licence on your account runs out, and once when it has. On by default.
Account and billing noticesAutomated and bulk mail about money on your account. On by default. It does not affect a statement or receipt a member of staff sends you directly — those always arrive.
School newsletterOccasional news from the school. Off unless you ask for it.
Offers and promotionsDiscovery flight offers and similar. Off unless you ask for it.

Password resets, email confirmations and invitations are not on this list. They are part of an action you just took, and a setting that could switch them off would lock people out of their own accounts.

Staff can change these for somebody who rings up and asks, rather than telling them to log in and find the setting themselves.
